Your agency at a glance: headline KPIs, sync health and how fresh your data is.

At a glance

Where in Orbit
Sidebar › Workspace › Dashboard
Who can use it
Everyone at your agency: Owners, Admins, Managers and Specialists. Each person’s figures cover only the clients they can see.

What it’s for

The Dashboard is your agency’s home page. It shows managed ad spend for a date range against the period before it, your top clients, your channel mix, media plan counts, your top AI insights and how healthy your data syncs are.

Use the range buttons, 7d, 30d, 90d and MTD, to change the period, and the client list to look at one client. Every range ends yesterday (UTC), so today’s spend is never included.

While your agency is still setting up, a checklist such as “Setup · 2 of 4” and an alerts strip point you to the next thing to do, and empty cards say what’s missing. + New plan, Quick Links and Talk to Your Data take you straight to other parts of Orbit.

The page doesn’t refresh on its own. Only the Data sync card updates itself, while a sync is running.

Questions

  • What does Stale mean?

The connection’s last finished sync is more than 24 hours old. Open it from Integrations and check its recent syncs; if they’re failing, reauthenticate it.

  • What does “Data updated” at the top of the Dashboard mean?

It’s the oldest last sync among your Synced connections, so your data is at least that fresh. It only shows when at least one connection is Synced.

  • How is the Sync health percentage worked out?

It’s the share of your connections that are Synced. Failed and Stale count as issues; Never synced lowers the percentage without counting as an issue.

  • Who can press Retry on a failed sync?

Anyone at your agency. Retry shows on the Dashboard’s Data sync card next to a connection whose latest sync failed.

  • Why doesn’t the Dashboard include today’s spend?

Every range ends yesterday (UTC), because platforms are still reporting today. Today’s spend is included once the day is over and has synced.

  • What is “vs. previous period” compared against?

The same number of days immediately before the range, so 30d is compared with the 30 days before it. For MTD, it’s the same days last month.

  • Why does the change next to Managed spend show “—”?

The previous period had no spend, so there’s nothing to compare with. It fills in once both periods have spend.

  • Why does MTD show last month on the 1st?

On the 1st there’s no full day of the new month yet, so MTD shows the whole previous month, labelled with its name, such as “September 2026”. From the 2nd it shows the new month.

  • Can I choose my own dates on the Dashboard?

No. The Dashboard has four ranges, 7d, 30d, 90d and MTD, and each ends yesterday.

  • Which date range does the Dashboard open on?

30d. The range you pick is kept in the page address, so a bookmarked view opens on that range.

  • I picked a client. Why didn’t every card change?

Only Managed spend, Top clients and Channel mix follow the client filter. AI insights, Active campaigns, the plan counts and the sync cards stay on all the clients you can see.

  • Why isn’t a client in the Dashboard’s client list?

The list shows active clients only, A to Z, up to 50. Inactive clients and clients outside your Client Access don’t appear.

  • Why are my Dashboard numbers lower than my colleague’s?

Every figure covers only the clients you can see. If your Client Access is limited, your spend, client count and insights are too.

  • Can I rearrange or hide Dashboard cards?

No. The Dashboard’s layout is the same for everyone and can’t be changed.

  • Does the Dashboard update on its own?

No. Reload the page to see new figures. Only the Data sync card updates itself, while a sync is running.

  • Can I press Retry on a Stale connection?

No. Retry only shows on Failed connections. Select a Stale connection’s name in the Data sync card to open it and check its recent syncs.

  • How do I hide the setup checklist?

It disappears once all four steps are done. There’s no way to dismiss it sooner.

  • Why isn’t “Map ad accounts” ticked?

Every ad account needs a client. Even one unmapped account keeps the step open; its status shows how many, such as “2 unmapped”. Assign them in Account Mapping.

  • When does the First sync step tick?

As soon as any performance data has synced for your agency, for any date. Until then it reads “Awaiting first sync” or “Sync in progress”.

  • Why does Create Client say I don’t have permission?

Only an Agency Owner or Admin can add clients. Everyone else who follows Create Client sees a message asking them to ask an Owner or Admin.

  • How are Top clients chosen?

They’re the clients with the most spend in the selected range, up to 6, each with its change against the previous period. The “View all …” link opens your client list.

  • What does Channel mix show?

The 5 channels with the most spend in the range, each as a share of total spend, with its change against the previous period. The bars are scaled to the largest channel.

  • Which plans appear in Active campaigns?

Up to 5 media plans with the status Live, with their dates and total budget. All plans → opens Media plans.

  • Which insights does the Dashboard show?

Up to 3 active insights from the selected range, highest impact first, then highest confidence. View all → opens Insights.

  • What are the alerts at the top of the Dashboard?

Up to 3 things that need attention, most urgent first: sync issues, connections not synced yet, plans pending approval, and no performance data. Each links to where you fix it.

  • A card says “No data in this date range”. What does that mean?

Setup is done, but nothing was spent in this range for the clients shown. Pick a wider range, or press Try a wider range or check sync →.

  • What does Managed spend include?

The ad spend synced from your connected platforms for the clients you can see, over the selected range. Spend from ad accounts with no client isn’t included.

  • How do I open the Welcome banner again?

Press the chevron on the collapsed “Welcome!” row to expand it. Orbit remembers whether it’s collapsed in each browser.

  • The Dashboard says “We couldn't load this page”. What do I do?

Press Try again, which usually fixes it. If it keeps happening, send support the reference shown on the page.

  • Who can see the Dashboard?

Everyone at your agency: Owners, Admins, Managers and Specialists. Each person sees figures for the clients they can see.

  • Can I start a media plan from the Dashboard?

Yes. Press + New plan at the top right, or Build Media Plan in Quick Links.

  • What is “Talk to Your Data” on the Dashboard?

A shortcut to Data chat, where you ask questions about your campaigns, clients and performance in plain English. Press Start a conversation.

How it works

Explainer: Dashboard date ranges and comparisons

Every Dashboard range ends yesterday (UTC), so today’s spend is never included. Each range is compared with the same number of days immediately before it; MTD is compared with the same days last month.

The four ranges
ButtonCoversLabelCompared with
7dThe 7 days ending yesterdayLast 7 daysThe 7 days before that
30dThe 30 days ending yesterdayLast 30 daysThe 30 days before that
90dThe 90 days ending yesterdayLast 90 daysThe 90 days before that
MTDThe 1st of this month to yesterdayMonth to dateThe same days last month
  • The Dashboard opens on 30d. The range you pick shows next to Managed spend, such as “Last 30 days”, and is kept in the page address.
  • Ranges stop at yesterday in UTC because platforms are still reporting today’s spend.
  • On the 1st of a month there’s no full day yet, so MTD shows the whole previous month and is labelled with its name, such as “September 2026”.
  • If last month was shorter than this one, the MTD comparison stops at its last day.
  • The change pill beside Managed spend, such as “↑ 12.4%”, reads “—” when the previous period had no spend, because there’s nothing to compare with.
  • There’s no custom date range on the Dashboard.

Explainer: What each Dashboard figure counts

Spend figures add up the ad spend synced from your connected platforms, for the clients you can see. Plan figures count your media plans by their status.

Dashboard figures
FigureWhat it counts
Managed spendTotal ad spend in the range, with a daily sparkline and the change against the previous period.
Top clientsUp to 6 clients with the most spend in the range, each with its change.
Channel mixThe 5 channels with the most spend, each as a share of total spend, with its change.
AI insightsUp to 3 active insights from the range, highest impact first, then highest confidence.
Active campaignsUp to 5 media plans with the status Live, with their dates and total budget.
Media plansPlans in Planning, Live or Pending Approval, with chips for live, draft (Planning or Draft) and paused.
ClientsThe clients you can see.
Open ProjectsMedia plans whose status isn’t Completed.
Active CampaignsMedia plans in Planning, Live or Pending Approval.
Pending ApprovalsMedia plans with the status Pending Approval.
  • The line under the greeting, such as “12 active clients · 8 live campaigns”, uses the same counts as the Clients and Active Campaigns tiles.
  • Spend shows in thousands, such as “$456.7k”, and in millions from $1M, such as “$1.25M”.
  • Data from an ad account with no client isn’t counted anywhere, so assign every account in Account Mapping.
  • Every figure covers only the clients you can see, so a teammate with fewer clients sees smaller numbers.
  • Sync health is the share of your connections that are Synced. The Data sync card lists each connection’s status.

Explainer: What the client filter changes

Picking a client narrows Managed spend, Top clients and Channel mix to that client. Every other card stays on all the clients you can see.

Which cards follow the client you pick
CardFollows the client filter
Managed spendYes
Top clientsYes
Channel mixYes
AI insightsNo
Active campaignsNo
Media plans and the four stat tilesNo
Sync health and Data syncNo
Header counts, alerts and the setup checklistNo
  • The list starts with All clients, then your active clients A to Z, up to 50.
  • It only appears once your agency has at least one active client.
  • The client you pick is kept in the page address, so you can bookmark the view.
  • For one client’s insights, pick the client on the Insights page.

Explainer: The setup checklist

Until your agency has finished setting up, the Dashboard shows a strip such as “Setup · 2 of 4” with four steps. It disappears once all four are done; there’s no way to dismiss it sooner.

The four setup steps
StepDone whenWho can do it
Add a clientAt least one client exists.Owner or Admin
Connect a platformAt least one connection exists.Owner or Admin
Map ad accountsAt least one account is mapped and none are unmapped.Owner or Admin
First syncAny performance data has synced, for any date.Happens on its own
  • Each step shows its status, such as “No clients yet”, “3 unmapped” or “Sync in progress”. The next step to do is highlighted.
  • Select a step to go to where you do it.
  • One unmapped account keeps Map ad accounts open, even when the rest are mapped.
  • The Welcome! banner below it offers the same first steps. Collapse it with its chevron; Orbit remembers that in each browser.

Explainer: Dashboard alerts

The alerts strip, such as “2 alerts”, flags what needs attention. It shows up to 3, most urgent first, each with a link to where you fix it.

Alerts, most urgent first
AlertWhat it meansLink
2 sync issuesConnections are Failed or Stale. It shows a failed connection’s error, or “Integration needs attention”.Review → opens Integrations
1 connection not synced yetA connection is “Awaiting first sync”.Check → opens Integrations
3 plans pending approvalMedia plans have the status Pending Approval.Review → opens Media plans
No performance dataNo performance data has synced for your agency yet.Connect → opens Integrations
  • An alert clears the next time the Dashboard loads after its cause is fixed.
  • Fixing a connection needs an Owner or Admin; anyone can press Retry on a Failed one in the Data sync card.

Explainer: Why a Dashboard card is empty

An empty card says what’s missing and links to the fix. The message follows how far your agency’s setup has got.

  • Adding a client, connecting a platform and mapping accounts need an Owner or Admin. Others who follow those links see a message asking them to ask one.
  • If the whole page fails, you see “We couldn't load this page”. Press Try again; if it keeps happening, send support the reference shown.

Explainer: What each sync status means

Each connection has a sync status: on the Dashboard’s Data sync card, and in short in the Last Sync column in Integrations. Synced means it finished a sync in the last 24 hours. Failed and Stale are the ones to act on.

Sync statuses on the Dashboard
StatusWhat it meansWhat to do
SyncedFinished a sync in the last 24 hours.Nothing.
SyncingA sync is running now.Wait for it to finish.
StaleIts last finished sync is more than 24 hours old.Open the connection and check its recent syncs.
FailedIts latest sync failed.Press Retry. If it fails again, reauthenticate.
Never syncedIt hasn’t synced yet, usually because no accounts are chosen.Choose its accounts.
  • The Last Sync column shows a time such as “3h ago”, Syncing…, Failed or Never. Hover Failed to read the error.
  • Errors are shown as the platform reported them, in the platform’s own words.
  • Sync health is the share of your connections that are Synced. Failed and Stale count as issues to review. Never synced lowers the percentage without counting as an issue.
  • The “Data updated” badge shows the oldest last sync among your Synced connections, so it’s only as fresh as your least fresh data.

Limits: How often Orbit syncs, and its limits

Orbit syncs every connection once a day on its own. There’s no Sync now button: the only way to sync sooner is Retry on a connection that failed.

  • Each daily sync refreshes the last 7 days, so changes the platform makes to recent days come through.
  • On Sundays, the sync refreshes the last 90 days instead. History older than that isn’t refreshed on its own; email support@orbit.group if you need it.
  • A connection’s first sync starts as soon as its accounts are saved with a client.
  • In the + Add Connection catalog, six platforms send data to reports: Facebook Ads, Google Ads, LinkedIn Ads, Google Analytics, Shopify and Amazon Marketplace. They’re marked Syncs to reports.
  • Other catalog platforms, such as Microsoft Advertising, Snapchat Ads, X (Twitter) Ads and Google Ads Manager, can be connected but send no data to reports yet.
  • Retry shows on the Dashboard’s Data sync card next to a connection that failed. Anyone at your agency can press it.

Explainer: Client Access: which clients someone sees

Client Access sets which clients a teammate can see, along with those clients’ plans, reports, pacing and data. You set it per person once they’ve accepted their invite.

The three Client Access options
OptionWhat they see
All clientsEvery client at your agency.
All Paid Search clients, or their own specialtyEvery client with the service that matches their Specialty Role, including clients added later.
Assigned clients onlyOnly the clients you tick. Star one to mark them as that client’s lead.
  • Until you choose, a new teammate sees all clients. Set their access as soon as they show as ACTIVE.
  • Changing someone to Specialist switches them to Assigned clients only and opens the panel so you can tick their clients. Changing them to another role gives them all clients again.
  • Someone with no clients, such as Assigned clients only with none ticked, sees no client data, pacing or insights.

Explainer: System Role: what each one can do

A System Role sets what someone can change in Orbit. Owners and Admins can do almost everything. Managers and Specialists work on plans, reports and pacing, and can view clients and connections without changing them.

Owner and Admin have the same permissions, with three exceptions. Only an Owner can make someone an Owner. The last Owner can’t be demoted or removed, so your agency always has one. And only an Admin can choose a client’s Trade Desk advertiser and push to The Trade Desk.

A System Role decides what someone can do. Which clients they can see is set separately, in their Client Access.
