How it works
Explainer: What clients see of their documents
A client sees every document filed for them that says Yes under Client sees it. Files you upload are visible straight away; Agency only documents stay hidden.
- Clients see them on their portal’s Documents page, where they can download each one, and the latest three in a Recent documents card on their dashboard.
- Switching Documents off for a client in Settings › Client Navigation hides the page and the card.
- Orbit doesn’t email or notify the client when you add a document.
- Only documents Orbit builds for you start as Agency only. They become visible once someone approves them in Mission Control, where your agency has it.
- There’s no switch to hide a single uploaded document. Delete it, or switch Documents off for the client to hide them all.
- Clients can’t upload, edit or delete documents.
Explainer: Categories, Storage and Source
A category labels a document so you can filter by it. Storage says whether it’s an uploaded file or a link, and Source says whether a person uploaded it or Orbit built it.
| Column | Values | What it means |
|---|---|---|
| Category | MSA, Invoice, Media Plan, Creative, Other | A label for filtering. It doesn’t change who can see the document. |
| Storage, on a client’s tab | Supabase or Drive | Supabase is a file uploaded to Orbit. Drive is a link, whatever site it points to. |
| Source, in the library | Uploaded or Agent-built | Uploaded by your team, or built by Orbit in Mission Control. |
| Client sees it or Visible to client | Yes or Agency only | Whether the client can see it in their portal. |
- On a client’s Documents tab, the Filter: chips show one category at a time.
- A document’s category and title can’t be changed after it’s added.
Limits: Document limits
Every document belongs to one client, and once added it can’t be edited. Deleting is the only change you can make.
- There are no agency-wide documents: every upload is for one client.
- Orbit doesn’t restrict file types.
- You can’t rename a document, change its category or replace its file. Delete it and add it again.
- Delete from the client’s Documents tab. The library has no delete.
- Deleting also removes the stored file, for you and the client.
- The library has no search or filter. To see one client’s documents, open that client’s Documents tab.
