What it’s for
Documents is your agency’s file library: every document filed for every client, newest first. Each document belongs to one client; there are no agency-wide documents.
Clients see their documents on a Documents page in their portal and in a Recent documents card on their dashboard, as long as Documents is switched on for them. Visible to client says whether each one is shown.
To add or delete a document, open the client and use its Documents tab. To download an uploaded file, press Download in the library.

Questions
Who can upload documents?
An Agency Owner or Admin, from a client’s Documents tab. Managers and Specialists can see and download documents for the clients they have access to.
Upload a document for a clientWho can do what with documents
What file types can I upload?
Any. Orbit doesn’t restrict the file type of documents.
What do document categories do?
They label a document so you can filter by it on the client’s Documents tab. They don’t change who can see it.
How do I see only one kind of document for a client?
On the client’s Documents tab, pick a Filter: chip: All, MSA, Invoice, Media Plan, Creative or Other.
Will my client see a document as soon as I upload it?
Yes, as long as Documents is switched on for them. It appears on their portal’s Documents page and in the Recent documents card on their dashboard.
Upload a document for a clientWhat clients see of their documents
Is my client notified when I add a document?
No. Orbit doesn’t send an email or notification when a document is added, so let them know yourself.
What does “Agency only” mean on a document?
The client can’t see it yet. Only documents Orbit builds for you start this way, and they become visible once approved in Mission Control, where your agency has it.
What does Agent-built mean in the Documents library?
Orbit built the document for you in Mission Control, rather than someone uploading it. Agent-built documents start as Agency only.
Can I hide one document from my client?
No. There’s no per-document switch. Delete it, or switch Documents off for the client in Settings › Client Navigation, which hides all of their documents.
Can I upload a document that isn’t for a client?
No. Every document belongs to one client.
How do I delete a document?
On the client’s Documents tab, press the bin on its row and confirm “Delete this document?”. It’s removed for the client too.
Why is there no delete in the Documents library?
The library is for finding and downloading. Delete from the client’s Documents tab.
Can I rename a document or change its category?
No. Delete it and upload it again with the new title or category.
How do I download a file I uploaded?
Open Documents in the sidebar and press Download on its row.
What’s the difference between Documents in the sidebar and a client’s Documents tab?
The sidebar’s Documents is the library of every client’s documents, where you download them. A client’s Documents tab shows only theirs, and is where you upload, filter and delete.
Why can’t a Specialist see some documents?
Documents follow Client Access: people see documents only for the clients they can see. Check their Client Access in Team.
Can my client upload documents?
No. Their Documents page is download-only. Clients can upload images and video to their Creative Library instead.
How it works
Explainer: What clients see of their documents
A client sees every document filed for them that says Yes under Client sees it. Files you upload are visible straight away; Agency only documents stay hidden.
- Clients see them on their portal’s Documents page, where they can download each one, and the latest three in a Recent documents card on their dashboard.
- Switching Documents off for a client in Settings › Client Navigation hides the page and the card.
- Orbit doesn’t email or notify the client when you add a document.
- Only documents Orbit builds for you start as Agency only. They become visible once someone approves them in Mission Control, where your agency has it.
- There’s no switch to hide a single uploaded document. Delete it, or switch Documents off for the client to hide them all.
- Clients can’t upload, edit or delete documents.
Explainer: Categories, Storage and Source
A category labels a document so you can filter by it. Storage says whether it’s an uploaded file or a link, and Source says whether a person uploaded it or Orbit built it.
| Column | Values | What it means |
|---|---|---|
| Category | MSA, Invoice, Media Plan, Creative, Other | A label for filtering. It doesn’t change who can see the document. |
| Storage, on a client’s tab | Supabase or Drive | Supabase is a file uploaded to Orbit. Drive is a link, whatever site it points to. |
| Source, in the library | Uploaded or Agent-built | Uploaded by your team, or built by Orbit in Mission Control. |
| Client sees it or Visible to client | Yes or Agency only | Whether the client can see it in their portal. |
- On a client’s Documents tab, the Filter: chips show one category at a time.
- A document’s category and title can’t be changed after it’s added.
Explainer: Who can do what with documents
Everyone at your agency can see and download documents for the clients they have access to. Owners and Admins upload and delete them on a client’s Documents tab.
| Task | Owner and Admin | Manager and Specialist |
|---|---|---|
| See the library and a client’s Documents tab | Yes | Yes, for the clients they can see |
| Download from the library | Yes | Yes |
| Upload a file on a client’s Documents tab | Yes | No |
| Delete a document | Yes | No |
- Documents follow Client Access: someone who can’t see a client can’t see its documents either.
Limits: Document limits
Every document belongs to one client, and once added it can’t be edited. Deleting is the only change you can make.
- There are no agency-wide documents: every upload is for one client.
- Orbit doesn’t restrict file types.
- You can’t rename a document, change its category or replace its file. Delete it and add it again.
- Delete from the client’s Documents tab. The library has no delete.
- Deleting also removes the stored file, for you and the client.
- The library has no search or filter. To see one client’s documents, open that client’s Documents tab.
